How we handle your data
How are we provided your personal data?
Your personal data is generally provided to us by the race organiser as a spreadsheet of race participants. This is provided to us as we would be that events timing service provider.
What personal data is provided to us?
This may include but is not limited to; First Name, Last Name, gender, DOB, email, phone number, emergency contact name and number, and any medical conditions you tell the race organiser about, if race packs are being posted out, we may be provided with your postal address information.
What do we use your data for?
Your Name is used to identify you at registration, and provided to the commentator to allow you to be addressed by name by them using our Commentator Information System (CIS).
Your Date of Birth (DOB) is used to place you in the correct age category, as well as providing identity verification upon picking up any race packs.
Your email and phone number are used to send any operational communications such as E-Tickets, start time or finish results.
Your postal address is used to send out your race packs via the mail.
Your medical details are imported into our Medical Information System (MIS), the medical service provider at the event can be provided with iPads that allow them to quickly view any medical details you have provided, assisting them in diagnosing and treating you if needed at the event. (e.g if you, number 1001, collapse on course and medical services are called to assist, they can enter your bib number into the MIS and see your name is John Smith, you are a 65 year old male, and you have a pacemaker and are allergic to penicillin. It also shows your wife’s mobile number that is called and she is informed about your situation and what will happen.) Providing this information can greatly assist in the speed and efficiency of any treatment on you. It also allows medical services to call your emergency contact to ask you anything that may assist them, or inform you of a situation.
How long do you keep my data for?
We permanently delete any postal address and medical details from our databases within 7 calendar days of the races completion.
Your Name, DOB, email, phone number and race result are maintained within our database as a race history of you. This allows us to view your previous performances if we suspect that a given results may not be correct. For example, you and your son accidentally swap bibs, and your son ends up “winning” the 55-59 years age group. Having a race history allows us to quickly lookup you and your sons previous performances and see that your finish time matches what your son usually runs, and a swapped bib is a very likely situation, prompting us to review our video footage to confirm that you have indeed worn each others bibs, and swapping the finish times without the need for us to contact you or disqualify you. We maintain your email and phone number in case you have made an error in one when providing one of the contact methods, we can quickly look you up from past races and correct that error.
Do you give my data to any third parties?
No. Your data is never sold or given to any third parties under any circumstances. You have trusted the race organiser and us with your personal information. Selling or giving it to ad agencies or other marketing organisations is a morally reprehensible thing to do. Our reputation and your privacy is worth so much more than selling or giving any data away to others.
Can you please delete my athlete history data?
Absolutely, if you have read the reasons and benefits of us having a race history of you, and wish for us to delete your data from our databases, simply give us a call or email timing (at) skywalkercreative.com.au we will make this request happen ASAP.
